Help with HoldOS

Start with the essentials, find the next step, and get help when something does not look right.

Your first property

  1. Choose the right company. Check the workspace name before entering records. Use the sample portfolio to explore with fictional data.
  2. Add the home and resident. Open Properties or Tenants. Review imported names, unit, lease dates, rent, and deposit against your source document before approving them.
  3. Complete Lease Info. Add household contacts, vehicles, and animals. Mark records inactive when they no longer apply; the earlier information remains available.
  4. Review the opening ledger. Compare charges, payments, dates, and totals with your source ledger before relying on imported balances.
  5. Check Today. Review what needs attention and open each item for its next action.

Keep daily work moving

Maintenance and follow-ups

Open the property, then Maintenance to review issues, status, vendors, and updates. Use a task with a due date for the next follow-up. Only mark a repair resolved when the work is actually complete.

Documents that match their preview

Open Documents or choose Write letter from a tenant. Review the document and its PDF preview before downloading. Preparing a document does not send it, sign it, or deliver it to a resident.

Finding a record

Use Search anything to find residents, properties, documents, and other workspace records. On a computer, press Command K or Control K. Open the source record to confirm details before making a change.

Inviting the right account

Invitations belong to the exact email address they were sent to. An address with a +suffix is a separate HoldOS login even when it reaches the same inbox. Sign in with the invited address and finish email verification before accepting an invitation.

Understand your ledger

Why can the balance and unpaid charges differ?

The current balance includes recorded charges, payments, credits, and adjustments. A payment may reduce that balance before it is assigned to a particular charge. Unapplied credit is recorded money or credit that has not been assigned to charges. Review Financials and Explain balance before making a correction.

Does the security deposit amount mean it was received?

The deposit shown in the tenant header and Lease Info comes from the lease. It is the agreed amount, not confirmation that the deposit was paid or is currently held. Check the payment records and original receipt to establish what was received.

Correcting a mistake

Use Correct on the relevant ledger entry and review the proposed result. Delete removes an entry’s effect from the working balance through a recorded reversal; the original and correction remain in History. Download the live ledger PDF or CSV when you need a current copy.

Where are older transactions?

The ledger and live ledger exports show the newest entries first, with the year in each date. Use History to review earlier corrections and removed entries. A previously downloaded PDF does not update when the account changes.

What is available in the private beta?

Management workspace

Properties, residents, leases, household records, tasks, maintenance, documents, manual ledger entries, receipts, and reports.

HoldOS subscription

Your HoldOS software subscription is separate from resident rent payments. Review your recurring price and billing terms before checkout. Billing settings provide access to the customer billing portal.

Resident payments and mailing

Resident payments remain test-only, and production physical mailing is not available in this beta. A test payment does not collect rent; preparing a mailing does not send it.

Review the beta terms for the current limits.

Report a problem

Open workspace settings, find Help shape HoldOS, and choose Share feedback. You can review your submitted reports and their status there.

  • Include what you expected and what happened instead.
  • Note the page, device, and approximate time of the issue.
  • Copy the error message, leaving out private credentials and payment details.
  • Save any unfinished work before refreshing the page.

Account access

Use “Forgot password” on the sign-in screen for password recovery. Invitation and verification links can expire; request a new link instead of forwarding an old one to another person.

Urgent situations

HoldOS is not an emergency service. For immediate danger, contact local emergency services and follow the emergency instructions published by your property manager.

Never send a password, full bank number, card number, Social Security number, or API key in a support message.
